Collection Management Software Question

Hi All, can someone recommend a collection management system for Archives that is somewhere between EMu/Adlib and an open source system.

EMu from Axiell seems to be the Ferrari of software systems, is there one just below this at all?

Kind regards,

  • Hi Lisa

I would recommend AtoM (Access to Memory) because it's based on the ICA descriptive standards so you know that it covers everything you would want to record about archives. You can attach digital objects including documents, images and videos. It's open source and has an active Google group for support. We use it at ANU Archives with minimal IT support for upgrades or it can be hosted by the developers Artefactual. This is the link to the main site https://www.accesstomemory.org/en/ and also a list of users around the world https://wiki.accesstomemory.org/Community/Users.

    • The Australian developers associated with AtoM are Gaia Resources. There's also a fairly quiet Australian google group - https://groups.google.com/forum/atom-users-australasia .

  • Hi, I work at School. I was looking for management software too, and narrow it down to Collection Access and OMEKA.

I was looking for simple collection management system with capacity to have images and video file to attache with the records.

Both soft are open source and simple. Collection Access focuses collection database with web publishing availability. OMEKA focuses web publishing with database so its doesn't have collection loan component.

I end up choose OMEKA for ease of use.

Is there any other OMEKA user in this group?

  • Hi Lisa

A tricky question to answer without more information about what you want the system to do.

The National Archives (UK) has some information on selection of systems from this link. http://www.nationalarchives.gov.uk/archives-sector/advice-and-guida.... There is spreadsheet you can download with useful comments on a number of products.

We use a combination of MINISIS modules for unpublished collection management purposes - M2A, M3, MINT here at the Hocken Collections in Dunedin NZ. MINISIS is a Canadian company. Our DAMS is based on Islandora and Fedora.

Remember that open source is not always low cost as you may need to pay for support or your IT folk may need to put many hours into supporting an open source product.

All the best with your search!

    • Hi Anna, thanks for the reply, the link was very helpful.

Functionality and suitability is the deciding factor and not the cost.  We have a reasonable IT support group in-house and are looking to host the information internally and not cloud based. While there seems to be great open source software available, I am not sure if that's the way for us.

      Thanks, Lisa
