Non-Gov./Independent School Archives

Hi all,
I just started a new position as archivist at a NSW Independent school and wondering what the donation process is for other indepenent schools. From my understanding the person donating archivial/historical material that is of significance from outside the school needs to sign a donation form, however I have not been able to locate such required form within our school.

Would anyone be kind enough to share their current donation form or a template, or direct me in the direction of where to create a donation form.

Further, does anyone have a copy of the Records Retention Schedule for Non-Government Schools that they can share?

Thanks in advanced,

Will :)

  • Hi Will,

It is fairly usual for School Archives to create their own donation forms based on the needs of their organisation, and conditions of donation will vary from donor to donor. That is, some donations will stipulate certain use provisions or will allow for the material to be returned to family in the future. Organisational rules may include that all donations to archives align with Collection Policy or should be in reasonable condition. So any donor form template you create should allow for these variations.

The RRDS2 has the following copyright information at the top of its documentation:

"This Schedule is the property of ASA Inc. and cannot be shared or distributed except in accordance with the license conditions. Individual licenses are single user licenses and may not be shared between users."

So your organisation will need to purchase the Records Retention and Disposal Schedule for Non-Government Schools: https://www.archivists.org.au/learning-publications/records-retenti...

I hope that this assists, and welcome to your new position and to School Archives.

    Kind regards,

    Ros Malone
