I'm planning to come up with a Records Management Committee, we are currently finalizing a new File Plan for the whole organization, so i was thinking it would be good to start a committee and have one person who deals with records from each department/division. So every department's/division's records management issues can be tackled by this committee and also take suggestions from members.

I've never done this before so i would like to ask for ways how i can go about it, to present it to my boss. if anyone have experience in this sort of matter or event material I can read to help me on my way.

    I would also be interested in how to keep the momentum going. We had "EDRMS Champions" three years ago when we changed EDRMS systems, but they have since gone back to their old ways, along with other staff.  What incentive might those in the committee have to stay promoting great information and records management?

    We created an informal Committee of 'Records Management Champions' and it was really the key users of our EDRMS from each department or division. They received a higher level of training in using the EDRMS and in record management and archival process and procedures. They were the first contact for anyone from their department or division who needed assistance or provided feedback.

  • Hi Raymond,

    The best way to address this is to have a group of people (1 from each business unit) that creates and maintains the records on a daily basis, and knows the struggles of each business unit.

    Present it to your boss as an open communication to be sent to staff to improve the records capability of the agency and highlight things like 'want to help your colleagues access and find the correct information and save time' etc.
