The Access to Memory (AtoM) Foundation is holding its first Annual General Meeting (AGM) on October 16 at 9:00 a.m. PDT / 12:00 p.m. EDT / 5:00 p.m. BST (4:00 p.m. UTC). The meeting agenda is attached to this message. Interested parties are welcome to attend, as observers.

Unless otherwise specified, the institutional member’s contact person will be the person considered delegated to act (vote and participate) on behalf of the member. If the contact person is not available, the member may appoint another person from their institution/organization as their representative for the AGM.

Elections

The inaugural Board of Directors consists of:

  • Creighton Barrett, Dalhousie University (Chair)
  • Heather Gordon, City of Vancouver Archives
  • Paul Hebbard, Simon Fraser University (Secretary)
  • Jeremy Heil, Queen’s University
  • Tim Hutchinson, University of Saskatchewan (Treasurer)
  • Lara Wilson, University of Victoria (Vice-Chair)

The AGM will include the Foundation’s first election for the Board of Directors. Board members are elected for two-year terms. Once the new Board of Directors is elected by the membership, the new Board will appoint officers (Chair, Vice-Chair, Secretary, and Treasurer).

To allow for staggered terms going forward, the inaugural Board will ask the membership to extend Heather Gordon, Jeremy Heil, and Tim Hutchinson’s directors’ positions for one year. Then, the Foundation will hold an election for up to six directors’ positions. Inaugural Board members Paul Hebbard and Lara Wilson will seek election for a two-year term.

What does the Board do?

The Board of Directors oversees the Foundation and its activities to support the AtoM community, with a current focus on the development of AtoM 3. The Foundation recently contracted a part-time secretariat service to enable board members to focus more on planning, fundraising, and organizational development rather than day-to-day operational issues.

What is the time commitment?

Board members are actively establishing the Foundation and laying the groundwork for a sustainable, member-driven roadmap for AtoM. The board is currently meeting every two weeks (by conference call for approximately 1.5 hours), with some discussions and work between meetings. This time commitment is likely to be fluid, depending upon the time of the year and ongoing activities and deadlines.

Helpful experience

Individuals with some of the following skills and experience would be especially welcomed candidates for the AtoM Foundation Board of Directors:

  • Managing budgets, projects, fundraising, writing grant applications
  • Experience with communications and marketing
  • Experience using AtoM software
  • Experience with other open source projects
  • Experience with non-profit governance
  • Experience using archival description standards (RAD, ISAD(G), DACS, Dublin Core, ISAAR-CPF, etc.)
  • Experience with metadata standards (e.g., EAD, EAC, PREMIS, METS, RDF, etc.)

How to apply

Interested candidates should submit a short expression of interest that explains their interest in joining the AtoM Foundation Board of Directors. Please outline your experience with AtoM and any other relevant knowledge, skills, and experience. Please also indicate your current membership status. While membership in good standing is encouraged, a membership is not required for election to the Board of Directors.

Deadline for submissions is Friday, October 11, 2019.

Candidates should attend the AGM on October 16. If you are unable to attend the AGM, please indicate this in your expression of interest. Nominations from the floor are also allowed.
